DealerPro (the "Service") is a dealer management and operations platform operated by Sieva Networks ("we", "us", "our"). This Privacy Policy explains what information we collect, how we use and share it, and the choices and rights you have. It includes a dedicated section on the DealerPro – Zoom integration.
1. Information we collect
- Account & profile data — name, email, phone, password, role, and the dealership/organization you belong to.
- Dealership & operational data — customers, inventory, contracts, invoices, accounting entries, appointments, communications, and records you create while using the Service.
- Billing data — subscription plan, billing contact, and payment details handled by our payment processor (we do not store full card numbers).
- Integration data — credentials and identifiers you authorize for connected third-party services (e.g., Zoom — see Section 6).
- Usage & device data — log data such as IP address, browser type, device identifiers, and actions taken, used for security, support, and reliability.
- Cookies — used to keep you signed in, remember preferences, secure the Service, and measure performance.
2. How we use information
- To provide, maintain, secure, and improve the Service.
- To create and manage your account, authenticate logins, and support two-factor authentication.
- To process subscriptions, payments, and renewals, and send transactional and administrative notices.
- To enable features and third-party integrations you turn on.
- To provide support and respond to your requests.
- To detect, prevent, and address fraud, abuse, and security issues, and to meet legal obligations.
3. How we share information
We do not sell your personal data or share it for cross-context behavioral advertising. We share data only:
- Service providers / subprocessors — vendors who process data on our behalf under contract, limited to providing the Service. Representative providers include Amazon Web Services (hosting), Twilio (SMS/voice), SendGrid (email), Stripe (payments), Intuit QuickBooks (accounting sync), and OpenAI (AI text features).
- Third-party services you connect — such as Zoom, limited to what the feature requires (see Section 6).
- Within your dealership — with other authorized users, according to the roles and permissions you configure.
- Legal & safety — when required by law or legal process, or to protect the rights, safety, and security of users and the Service.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
4. Data security
All traffic is encrypted in transit using TLS. Secrets and credentials are stored on servers outside the public web root and are never exposed to the browser. Access to production systems and data is restricted to authorized personnel on a least-privilege basis, and each organization's data is logically isolated. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
5. Data retention
We retain personal and operational data for as long as your account is active or as needed to provide the Service, and thereafter only as required to comply with legal and tax obligations, resolve disputes, and enforce agreements. Integration tokens are removed promptly on disconnection (see Section 6). On account termination you may request an export of your data within 30 days, after which we may delete it in the ordinary course.
6. Zoom integration data
If you choose to connect your Zoom account, DealerPro acts on your behalf to manage Zoom meetings that correspond to your scheduled appointments.

Scope of access. We request only the minimum Zoom permissions required:
user:read:user, meeting:write:meeting, meeting:update:meeting,
meeting:delete:meeting. We do not access or store Zoom recordings, chat,
participant data, or any other Zoom users' information.
Use limitation. Zoom data is used solely to create/update/delete your own meetings for DealerPro appointments. It is never sold or used for advertising.
Retention & deletion. Your Zoom connection and tokens are retained only while the
connection is active. They are deleted/deactivated when you disconnect Zoom in DealerPro, or when you
remove the app from your Zoom account (we honor Zoom's app_deauthorized event).
7. Your choices & rights
- You can disconnect any third-party integration (including Zoom) at any time from within DealerPro.
- You may request access to, correction of, deletion of, or a copy of your personal data, subject to applicable law.
- You can opt out of marketing communications at any time using the unsubscribe link or by contacting us.
- Residents of California, Virginia, Colorado, Connecticut, Utah, Texas, and other states with applicable privacy laws have additional rights; contact us to exercise them, and we will not discriminate against you for doing so.
8. Children's privacy
The Service is intended for business use and is not directed to children under 16, and we do not knowingly collect personal information from children under 16.
9. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above, and where appropriate we will notify you through the Service or by email.
